Successful, growing investment team in St James's are seeking an assistant to join their dynamic team of 25, working closely alongside two other assistants. A good level of written and spoken French is essential along with an undergraduate degree qualification (or equivalent). You will also possess strong experience of managing busy international diaries and complex global travel plans with at least 5 years of corporate support experience gained in an investment or professional services setting.

This is a 3-6 months temporary assignment with a potential to be converted into a permanent role. This is a great opportunity to join a close-knit, hard-working team in a personable friendly office, yet with the backing of a major North American corporation with a long standing heritage.

You will be supporting 2-3 Partners and also providing helpful support to a couple of junior members of the team.

Duties will include but won't be limited to:

• Managing calendars by acting on and assessing priorities, scheduling dates for meetings across time zones, directly managing priorities and ensuring the necessary follow-ups;

• Receiving, screening and forwarding phone calls for members of the team

• Booking meeting rooms, registering and welcoming visitors for the team

• Scheduling of larger, group-wide (or North America HQ) meetings and video conferences

• Liaising with internal, legal and external parties for the organisation of board meetings and board documents

• Process business expenses

• Entering business cards for the team into Outlook Contacts

• Organising all business travel (flights, rail, taxis, visa applications) and preparing associated itineraries and expense claims

• Organising online and paper files and ensuring they are maintained in an orderly, secure fashion;

• Carrying out administrative follow-up, managing deadlines and tracking all requests made by the members of the team

• Taking part in printing and binding presentations and documents

• Demonstrating a flexible approach to complete other admin-related tasks that the team need
