An established global property development firm based in the west end are looking for an Office Manager to cover a Maternity leave for 12 months. Applicants MUST be able to start in December.

This is a great opportunity for somebody with administration experience to progress their skills in an office management capacity.

Duties and responsibilities to include:

• Liaising with the General Manager and Building Management Team.

• Reporting and managing all maintenance / repair issue.

• Ensuring compliance with the Health & Safety at Work Act/

• Acting as a fire marshal and first aider for the office (attending relevant training)

• Managing all deliveries

• Managing stationary orders for the office

• Managing meeting room system

• Managing catering requirements for meetings and events

• Being the first point of contact for all calls/ enquiries/ visitors and positively representing the Company

• Coordinating incoming and outgoing post, special deliveries, courier etc

• Stock control for communal areas

• Photocopiers coordination

• Suppliers Management

• Archiving company liaison

• Travel bookings

• Other duties as and when requested

Accounts Assistant duties

• Entering group company invoices onto database

• Distribution of invoices for authorisation on Idocs/overseeing PO system

• Dealing with customer queries

• Posting journals

• Creating sales invoices

• Credit control duties

• Assisting treasurer with weekly money requirements

• Processing payments by BACS, CHAPS and cheque

• Recording, distributing and banking Community income

• Reconciling bank statements

• Reconciling intercompany transactions

• Filing

• Taking department calls

• Credit card reconciliation

• Trainline company account administration

Experience and attributes required

• Previous admin experience, some basic accountancy is highly desirable (reconciliations, raising invoices etc)

• Friendly and helpful attitude

• Excellent communication skills

• Professional and mature outlook

• Degree not essential but desirable

• Proactive with the ability to multitask
