One of the world's largest Global Executive Search firm are looking to recruit an experienced Personal Assistant/Office Manager to support on a 1:2 basis. With a reputation based on excellence both internally and externally, this is an exciting opportunity for the right candidate.

This role is a multifaceted position that requires the PA to balance being the key point of contact to external Stakeholders and manage the administration workload for the team of 5.

Duties and responsibilities

• Full PA support, highly complex diary management across different time zones and inbox management

• Event management

• Stakeholder management; Externally as well as Internally

• Liaising with candidates and clients regarding interviews and meetings

• Preparing candidate reports, presentation documents and pitch documentation

• Coordinating corporate events; liaising with suppliers, caterers ad events team

• Respond to new business enquiries in a fast and professional manner

• Maintaining client relationships

• Manage stationery and office supplies

• keep office and kitchen tidy

• Cover the mainline telephone, redirect calls and deal with telephone enquiries

• Prepare letters, cover letters, presentations and reports

• adhoc administration

• Liaise with building manager and security team for all building related issues incl. maintenance and upkeep

• Assist with organising company events and client events

• Manage induction process for new employees

• Ensure that health and safety policies are kept and up to date

• Ad hoc admin including travel expenses, invoicing and filing

You will be

• Process driven and proactive with the ability to think ahead, anticipate any problems and provide solutions

• Confident making judgements

• Able to thrive in a fast paced environment; have high levels of energy, tenacity and focus

• Intuitive; able to assess a situation and take initiative

• Advanced knowledge of MS Office Suite
