Business/Private EA to CEO, international hedge fund

We are seeking an experienced EA with a proven track record of providing a high level of business and personal support in a fast-paced (ideally, investment office) setting.

The successful candidate will be professional, polished, and dedicated to providing exceptional service with a strong work ethic and a proactive, disciplined approach to problem-solving.

The right person will be able to deliver an institutional-quality service in a boutique environment, be willing to commit to working flexibly and be accustomed to operating independently under their own steam, with a ‘roll-up-the-sleeves’ approach.

The role requires a high level of focus and concentration in order to ensure high levels of accuracy when working on a complex and diverse range of tasks.

Duties will include but won’t be limited to:

• Full business schedule management for business meetings, travel and personal appointments for CEO/Principal
• Preparing complex domestic and international travel arrangements, including research and itinerary building, both on scheduled flights and private jets for both business and personal trips (including unique holiday experiences)
• Full access to inbox, which needs to be closely monitored (both incoming and outgoing mail)
• Manage personal and office expenses in conjunction with finance team/private Accountant
• Restaurant reservations, organising private functions and tickets to events.
• Overview and management of London residence and other properties, including managing contractors for any issues arising in family residences or within portfolio of rental properties, and arranging payment of invoices and appropriate reconciliation
• Assisting with projects related to the property portfolio, including vetting providers, dealing with property agents, architects, designers, etc for renovations.
• Interaction with Principal’s wider network where required (private banker etc.)
• Assisting in the preparation of tax returns
• General family office admin, including management of insurance, invoicing and payments queries
• Ad-hoc project and research tasks for the family
• Working alongside other support staff to assist in smooth running of the London office: this may include meeting and greeting of guests, liaison with vendors / suppliers and any onboarding support for new joiners etc.
• Assist in any operations related tasks in conjunction with counterpart assistants e.g., in New York office

The successful candidate will be able to demonstrate the following:
• Successful track record of academic achievement
• Previous exposure to supporting senior executives in a business and private capacity
• Fluent French language skills (not essential but hugely beneficial)
• Exposure to both institutional AND small/start-up office environments within the investment sector
• Pro-active approach to work, with strong use of initiative and common sense
• Ability to work independently on projects without prescriptive guidelines
• Discretion, with a strong understanding and respect for confidentiality
• Positive work ethic with a “no-fuss, can-do” approach to ensure work gets done quickly and efficiently
• Confidence to proactively press for information and relentless in the pursuit of detail when it comes to external providers
• Ability to remain calm and measured at all times, especially when under pressure and working to tight deadlines
• Friendly but professional approach, with the ability to build rapport quickly with external contacts
• Polished and confident communicator, both written and oral
• Excellent organisation, time-management and prioritisation skills with the ability to juggle multiple tasks at the same time
• Detail oriented, with high levels of accuracy
• Flexible and accommodating approach to the job; willing to respond to mobile phone and email requests out of office hours as required
• Strong IT skills – in particular, proficiency in Outlook, Word and Excel. Exposure to accounting software packages advantageous.
