Team Executive Assistant within a successful hedge fund
 
An exciting opportunity exists within an established and successful hedge fund for a Team Executive Assistant to support the COO, CFO and Head of PM Strategy Development. The culture is inclusive, welcoming and genuine where there are low egos and it's all hands on deck. Situated in stunning contemporary offices that have a family feel. The ideal candidate will enjoy working in a driven, fast-paced and stimulating environment and have a financial services background with 2-3 years of Team Assistant and Executive Assistant work history. As the new starter, you will have a passion for creating time in complex diaries, arming your Directors with information and preparing them in advance for international trips. You will have immaculate polish, common sense and a calm and unflappable presence.
 
Key Responsibilities
 

- Full EA support for COO, CFO and Head of PM Strategy Development, including: - Managing calendars and scheduling internal and external meetings - Ensuring all necessary resources are available for meetings - Booking travel and hotels as required - Expenses
- Scheduling of Board meetings and various Committee meetings
- Preparation of materials and agendas, plus minute-taking and following up on actions for: - AR Committee - A&R Committee - Best Execution Committee - Executive Committee - Operations Meeting - Ad hoc strategy sessions
- Arranging events such as roundtable dinners, staff drinks/celebrations, offsite meetings, gifts/cards
- Organising lunches for meetings as required
- Preparing presentations as required
- Updating Org Chart
- Ordering business cards

 
The Candidate
 

- Minimum 2 years of experience in a similar role, preferably within the financial services industry or a hedge fund
- Experience taking meeting minutes
- Proficient in Outlook calendar management
- Strong organisational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficient in MS Office suite (Word, Excel, PowerPoint) and scheduling tools
- Ability to manage multiple tasks and prioritise workload effectively
- Proactive and self-motivated with a strong sense of initiative
