Executive Team Assistant
This is an opportunity for an experienced Executive Team Assistant to join a highly successful global investment management firm on a permanent basis. Our client has an incredibly strong track record in market and is recognised as a global industry leader in the investment management space. They are seeking a highly motivated and detail-oriented Executive Assistant to join their team based in the heart of the West End of London.
Key Details:
- £55K plus generous benefits and bonus
- Hybrid working with one day from home
- Official hours: 8:30am – 5pm
- Fantastic offices located in the heart of the West End
Role Overview:
This role will see you support a team of 8 - 12 investment professionals (including 1 - 2 MDs) focussed on sustainable energy investments across Europe and North America. The role is best suited to someone who exhibits exceptional time management skills and is adapted to prioritising tasks and working in a simultaneously reactive and proactive manner as a centralised Executive Team Assistant. You will be part of a wider administrative team of three - all assistants work in a collegiate way to pick up overflow and support the broader team.
Responsibilities:
- Book and manage complex global travel arrangements for the team.
- Manage multiple calendars on behalf of executives, working with internal and external stakeholders.
- Co-ordinate, arrange and oversee team event planning process, as required.
- Responsible for coordinating meetings, including conference room management and catering services for the team
- Reconcile expenses receipts, credit cards statements and expense reporting.
- Co-ordinate with various departments across the business to ensure smooth onboarding for new joiners
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organisation.
- Manages administrative matters including vendor invoice management, and any other administrative task to support the team.
Candidate Requirements:
- Someone who is team and outcome oriented, who can prioritise efficiently.
- Able to manage conflicting priorities and work in a fast-changing and fluid environment.
- Exceptional verbal and written communication, with the ability to liaise with all levels with confidence and the upmost level of confidentiality.
- Someone who is a team player, who is focussed on driving the efficiency of the team and maintains a positive attitude towards their work.
