This is an opportunity for a Team Assistant to join a highly successful global private equity firm permanently. Our client is recognised as highly regarded in their field; therefore, we are seeking highly motivated and detail-oriented candidates who come from top investment or financial services firms. This is a role supporting 2 x MDs and the broader team of 15 – 20. This role will work closely with the Executive Assistant who provides 1:1 support to the team head. You must be collaborative, solutions-oriented and pragmatic.
Key Details:
- £40 - £55k plus bonus
- In office culture – however WFH on a needs basis
- Official hours: 8:30am – 5:30pm
- Stunning, modern offices based in the heart of the West End
Role Overview:
This role will see you support 2 x MDs and a team of investment professionals. The role is best suited to someone who exhibits exceptional time management skills and is adapted to working in demanding fast-paced and reactive environments. You must enjoy always remaining on the front foot, working in a role that is paramount to the day-to-day success and operational efficiency of the broader team. You will be part of a wider internal administrative support network across business functions - all assistants work in a collegiate way to support the demands of a busy and agile office, including providing overflow team and diary management support, and assisting with the coordination of events.
Responsibilities:
- Book and manage complex global travel arrangements for the MD and team.
- Manage multiple calendars on behalf of executives, working with internal and external stakeholders.
- Co-ordinate, arrange and oversee team event planning process, as required.
- Responsible for coordinating meetings, including conference room management and catering services for the team.
- Reconcile expenses receipts, credit cards statements and expense reporting.
- Co-ordinate with various departments across the business to ensure smooth onboarding for new joiners.
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organisation.
- Manages administrative matters including vendor invoice management, and any other administrative task to support the team.
Candidate Requirements:
- Someone who is team and solutions-oriented, who can prioritise efficiently.
- Able to manage conflicting priorities and work in a fast-changing and fluid environment.
- Exceptional verbal and written communication, with the ability to liaise with all levels with confidence and the upmost level of confidentiality.
- Someone who is a team player, who is focused on driving the efficiency of the team and maintains a positive attitude towards their work.
