Overview

Our client is seeking an energetic, communicative and highly organised Executive Assistant to join them on an initial 12-month fixed term contract supporting 2 Portfolio Managers and their team. This role is suited to someone who has worked with high-volume coordination and complex travel management. You will demonstrate the ability to work at pace and with a high output, and with a sunny, bright and professional demeanour. 

Key Details: 
  • £55 - £65k plus discretionary bonus.
  • Stunning St James's Square offices, with 1 WFH day per week. 
  • Hours: 7:30am - 5pm, Monday - Friday.

Role Overview: 

Supporting 2 PMs and their team, this is a key role that will require someone to strategically partner with team members to alleviate workload and create efficiencies. You must maintain a high level of accuracy, and be adept at managing multiple processes and tasks at one time. With the company constantly evolving - this EA will help manage their teams day-to-day support needs and see that everything runs as smoothly and to time as possible. You will be a strong team player who enjoys working amongst a collaborative and social network of Assistants, and thrive working in a deadline-driven environment with a level of mature judgement. This is an initial 12 month fixed term maternity cover, with potential for permanency. 

Responsibilities: 
  • Manage calendars and conference calls, make appointments, book conference rooms, and organise meetings for the PMs and team. 
  • Coordinate and manage domestic and international travel arrangements. 
  • Create and process expense reports.
  • Manage phone coverage for team and set up conference calls as needed.
  • Participate in elements of the research process.
  • Perform personal assistant functions (scheduling, reservations etc.) if required.
  • Work on special projects as needed.
Candidate Requirements: 
  • 5 - 8 years of experience in a Team or Executive Assistant role involving multitasking and prioritisation.
  • Experience working in a hedge fund, investment firm or similar fast-paced environment. 
  • A Bachelor's degree (any field of study).
  • A successful track record of scheduling meetings in a high-volume environment across multiple time zones.
  • A strong customer service orientation and professionalism.
