We're looking for a collaborative and inquisitive assistant with demonstrated experience in supporting an investor relations function and with strong knowledge of IR CRMs / Platforms
Responsibilities:
Meeting, Travel, Event & Roadshow Logistics
- Coordinate complex global travel and accommodation (including visa support)
- Plan and execute investor roadshows: travel, meetings, and schedules.
- Arrange a high volume of calls and meetings between investors, IR, and partners.
- Organise onsite due diligence sessions, where appropriate
- Booking restaurants and other venues for investor meetings and team events
- AGM support: venue scouting, travel/hotel bookings, merchandise, room setup, investor registration
- Conferences: purchasing tickets, full logistics, meeting coordination across venues, investor communication, on-the-ground support
- Print and bind investor presentations
- Manage subscriptions: Infralogic, Preqin, PEI
- Attend team weekly meetings
- Process invoices and expenses.
- CRM management: save notes/emails, update contacts/companies, create fundraising records.
- Log meetings, calls, and roadshows
- Redacting, watermarking and editing documents.
- Obtaining signatures
- Compiling, saving and scanning IR documents.
- Ad hoc duties as required
- Previous experience in an administrative, client service, or communications role within alternative investment space or investment banking
- Familiarity with financial documents and terminology.
- Knowledge of CRM or Investor Relations platforms (e.g. MS Dynamics)
- Strong written and verbal communication skills
- Excellent organisational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Ability to communicate clearly and professionally with internal stakeholders and external investors, both verbally and in writing.
- High level of accuracy in handling data, preparing documents, and managing communications.
- Capable of managing multiple tasks, prioritising effectively, and meeting deadlines in a fast-paced environment
- Skilled in Microsoft Office (Excel, PowerPoint, Word, Outlook); familiarity with CRM systems and investor relations platforms is a plus
- Trusted to handle sensitive information with integrity and professionalism
- Works well within a team, supporting colleagues and contributing to a positive working environment
- Proactive in identifying issues and proposing practical solutions
Flexibility:
- Minimum 3 days a week in the office
- European business travel on ad-hoc basis
