Overview

This expanding boutique property investment company in Mayfair is hiring an Operations Executive to help oversee the London office and support the COO with their UK expansion plans. The ideal candidate will have between 3-5 years experience perhaps as an operations or office manager or PA/Office Manager in a small firm and as this is a brand-new role you will have freedom to direct your own role and responsibilities and grow as the business.  Although currently a small (but growing) team, they are professional, collaborative and dynamic so will need a like-minded self-starter who can oversee the smooth day to day running of the office and liaising with other offices in the group on an ad hoc basis. As Operations Executive there will be a small element of PA support in the role but this will be around calendar management for the executives and support in drafting emails, preparing reports and presentations and acting as the primary point person for contact at the office. 

The role will be wide ranging and diverse and you will have lots to get your teeth into. You will have ownership of office procedures and processes and have freedom to implement or improve new systems. You will also ensure office equipment is purchased and inventories are maintained as well as making purchases for onboarding new members of the team.  As Operations Executive you will oversee administrative support across all areas of the office operations. This will include liaison with internal and external stakeholders, landlords and engage with contractors as well as oversee the facilities management (compliance with health and safety/security/repairs and maintenance).

You will be responsible for onboarding new members of the team and overseeing training and HR for the team. You will also be responsible for maintaining the electronic and physical filing systems and help the team with projects and  undertake research. You will also work with the finance team helping produce reports, adhering to budgets and being responsible for expense management and tracking. You will also work closely with the team to ensure payment of invoices and assisting with financial reconciliations.  

If you like a role where you can manage your own workload and have experience in real estate/finance/property this will be an exciting role.  You will need to be a born multi-tasker with excellent organisational skills, attention to detail and accuracy and able to manage highly confidential information. Proficient across MS Office the role will suit a really friendly, hands-on team player who likes ownership of their own role and is keen to build a career as the business expands. 

Duties 

Travel organisation as required
Overseeing the day to day running of the office
Purchases for the office (food/equipment etc)
HR - maintaining records/holiday/payroll information for the relevant department
Overseeing internal/external relationships with stakeholders
Facilities management - liaison with landlords/contractors
Information management - managing confidential information
Research and adhoc project support
Finance – prepare expenses, liaise with finance team to prepare final accounts
Minimal PA support – calendar/travel
5 days in office

Excellent package

Salary to £60,000
Hours - 9-6pm
